Fleet Plate Information - Fleet Registration C.R.S 42-3-125

Fleet registration enables the owner of 10 or more vehicles to establish a common expiration month for their vehicles. All vehicles in the fleet must be in the same owner’s name.

Application

  • The applicant completes a DR 2194 Fleet Owners Request for Common Registration Expiration Date application to establish a common month of expiration.
  • The application must be submitted to the County in which the applicant resides or the home office address where the business is located.
  • The County will verify that there is a minimum of 10 vehicles in the proposed fleet, and that the name on the registrations matches the name on the fleet application.
  • The County will verify that the requirements have been met and then submit the application to the Department.
  • The Department will issue the fleet number. Copies of the application, showing the fleet number assigned by the Department, will be returned to the County and to the applicant.
  • When the applicant receives their copy of the receipted application, they may choose to do one of the following:
    • Place currently registered vehicles in the new fleet, however, they will lose the fees for the months remaining on the registration.
    • Wait until the vehicle(s) registrations expire and then move the vehicle into the fleet expiration month.

Changes to Established Fleets

Additions or deletions may be made to a fleet at any time throughout the year. Be sure to use the assigned fleet number on these transactions. Should the number of vehicles in a fleet fall below the required ten

(10) vehicle minimum, the customer will be notified by the County that they no longer qualify as a fleet. When compliance cannot be met, the County will notify the Department so that the fleet can be removed from the active files. The month of expiration should not be changed once it has been established.

Fleet Name Change

In the event of a legal name change the following is required:

  • All titles must be officially transferred to the new name.
  • A new application, DR 2194 Fleet Owners Request for Common Registration Expiration Date.
  • Verify the current fleet number (a new fleet number will not be assigned).
  • Check box “Mark for name Change Only” and show fleet number in “Current Fleet Number” field.

Additional Miscellaneous Information

If the location where the vehicle is principally operated and maintained changes, the fleet operator must notify the new County of the address change. C.R.S 42-3-113(7)

When a vehicle is sold, junked, salvaged or removed from service, the fleet owner must notify the County. The plate may be transferred to another vehicle within the fleet by the County Motor Vehicle or surrendered.

Fleet Owner Responsibilities

  • Provide appropriate fleet number to the County office when registering or renewing a vehicle.
  • Notify the appropriate counties of vehicle movement from County to County. Notification must be made at time of vehicle Movement.
  • The fleet operator must surrender the registration and the fleet plate to the County in which the vehicle is currently registered when a vehicle is withdrawn from the fleet, sold, junked, salvaged or removed from service and the plate is not being transferred to another fleet vehicle.
  • Complete the GVW truck and tractor weight and mileage pre-renewal requirements and submit to the appropriate County in a timely manner.
  • During the fleet companies review of the renewal documentation, vehicles may be deleted and the amount due for that vehicle is subtracted from the total due to the county. The correct amount due to the County must be submitted with the renewal documentation.
